What is Ethics Point?

 

USA Mobility's Ethicspoint LogoTo facilitate the secure and confidential reporting of fraud or financial misconduct, USA Mobility has contracted with a firm called Ethicspoint.   Their system allows customers and vendors to place confidential and anonymous reports either by telephone or the Internet, without divulging their name or other personal information.

 

The reporting Web site can be accessed from any Internet-enabled computer at www.ethicspoint.com.  Telephone reports can be placed by calling 1-866-ETHICSP (1-866-384-4277).  Reports concerning financial issues are sent by Ethicspoint to a member of the Audit Committee of the Board of Directors, who is responsible for ensuring that each concern is independently investigated and resolved.

How to File an Ethicspoint Report


USA Mobility wants to ensure that our customers and vendors have the opportunity to inform the company about fraud or financial misconduct.  Ethicspoint offers a confidential Internet and telephone based service that enables you to file a report anonymously and confidentially.  This guideline will help you file an Ethicspoint report.

Note: USA Mobility is using this service only for the reporting of financial misconduct and fraud.  Concerns about customer service, equipment or network service should be reported to your sales representative or the Purchasing Department.

 

Ways to place a report:

  • Toll free telephone at 1-866-ETHICSP (1-866-384-4277).
  • From any Internet-enabled PC at www.ethicspoint.com.

Filing a Report by Telephone

  • Call the toll free number: 1-866-ETHICSP (1-866-384-4277). 
  • A representative is available to answer your call 24 hours a day. 
  • They will guide you through a series of questions and file your report. 
  • You will be given a confidential report ID number. 
  • Call back or log on to the Web site after 48 hours to answer follow up questions regarding your report.

Filing a Report on the Internet

  • Click on the Ethicspoint logo on USA Mobility's Internet page or from any Internet-enabled PC, go to www.ethicspoint.com.
  • Type 'USA Mobility' in the company name box and click submit button. 
  • Confirm that the company name is correct in the confirmation box. 
  • Select the type of report you wish to file. 
  • Read and check the "I agree" statement. 
  • Write down the confidential report ID supplied by the system. 
  • Complete the report by entering all requested information. 
  • Make sure all details are entered correctly. 
  • Log in to the Web site after 48 hours using your confidential report ID to see if the company contact has requested additional information. 
  • Submit the requested information so that the situation can be resolved.

A:

A:

There are several reasons why this kind of reporting tool is important:

  • It helps our employees adhere to USA Mobility's shared values of honesty, firness, respect and responsibility, and ensures that their actions exclude considerations of personal advantage or gain.
  • It ensures that the company profits through lawful and proper means.
  • Reporting hotlines have proven to be an effective tool in reducing fraud and abuse.

A:

Yes, we do.  In fact, we need you to report.  Customers and vendors get a first-hand view of what is going on in our company - both good and bad.  You may know or hear about fraudulent activities.  By reporting, you help reduce any potential negative impact on the company.

Q:

What type of situations should I report?

A:

Ethical violations involving theft, self-dealing, fraud or financial misconduct should be reported using Ethicspoint.   Issues involving customer service, equipment, or network service should continue to be directed to your sales representative or customer service.

If I suspect or know about fraud, can't I just report it to my sales representative or the Purchasing Department?

A:

You certainly can, but you may prefer to file your report confidentially and anonymously.  All information reported to Ethicspoint is secure and held in the strictest confidence.

Q:

I thought that that any e-mail sent on the Internet could be tracked or recovered.  Won't I be identified as the report originator?

A:

Absolutely not.  Ethicspoint uses a number of security techniques to ensure that your identity is kept confidential.  Messages are also encrypted to protect them from unauthorized access and viewing.  Screen names are never captured (there are no cookies), which further protects the identity of the person filing the report.  Reports are only sent to specific members of management or the Board of Directors, and the report delivery system is designed to ensure that reports cannot be intercepted.

A:

The Ethicspoint system is designed to protect your anonymity.  You simply need to ensure that the body of the report does not accidentally reveal your identity.

Q:

I know about some unethical or fraudulent conduct, but it doesn't affect me.  Why should I become involved?

A:

All unethical conduct, at every level, eventually hurts the company.and that ultimately hurts our customers and vendors.  You've probably read news articles about major corporations that have been badly damaged by the actions of a few people.  Even seemingly innocent lapses in ethics can have devastating effects on a company.

Q:

I am not sure that what I have observed or heard would be considered unethical conduct.  It just doesn't look right to me.  What should I do?

A:

File a report and ask.  We'd rather you asked than let possible unethical behavior go unchecked because you weren't sure.

Q:

Where do these reports go?  Who can access them?

A:

Reports are entered directly onto the Ethicspoint secure server, which prevents any potential breech in security. Ethicspoint makes these reports available only to specific individuals within our company and the Board of Directors, and ensures that reports are not shared with implicated parties.

Q:

How do I know that something will be done about what I report?

A:

When you file a report, you are given a unique user name and password.  After 48 hours, log back into Ethicspoint to read the company's response.  The person who received the report may ask you to provide additional information so that they can resolve the situation.  If so, we hope you will cooperate and respond.  Remember that your reports are completely anonymous and confidential.  Nobody will try to discover your identity.

A:

An Ethicspoint report can be filed from any computer with access to the Internet.  For example, you can file a report from work or the public library.  You can also call the Ethicspoint toll-free hotline at 866-ETHICSP (1-866-384-4277) 24-hours a day.

Is the telephone toll-free hot line confidential and anonymous too?

A:

Yes.  You will be asked to give the same type of information that you would provide in an Internet-based report, but a team member at Ethicspoint will file the report for you.  All of the security and confidentiality measures that apply to Internet-based reports also apply to those placed by telephone.
